Our volunteers bring warmth into every corner of hospice, sharing time with residents, supporting families, and lending a steady hand behind the scenes. Whether it’s a heartfelt conversation, a nourishing meal, or a quiet moment of companionship, these simple acts of care create comfort and connection when it’s needed most.
+ Kitchen Volunteers
In our kitchen, volunteers are part of a team where every task, from chopping and stirring to plating and serving, is done together. Under the leadership of the Chef, meals are prepared with care for our residents. Volunteers also support keeping the Canoe Café stocked and welcoming for families and visitors.
+ Reception Volunteers
Reception volunteers are the friendly faces and welcoming energy that set the tone for everyone who walks through our doors. Their role is so much more than answering phones; they brighten days, calm nerves, share a laugh, and make people feel truly seen and cared for.
+ Direct Service Volunteers
Direct service volunteers assist care staff by stocking supplies, tidying spaces and spending time with residents.
+ Fire Pit Supervisor
Fire pit volunteers start, tend to and extinguish the fire.

Title: Administrative Assistant (Medical)
Reporting to: Manager of Hospice Care and People & Culture Coordinator
Position type: Full-time (Temporary)
Position Summary
The Administrative Assistant (Medical) provides support to both the Manager of Hospice Care and the People & Culture Coordinator. This position will assist with administrative tasks in a clinical setting, HR-related support, volunteer coordination, and executive assistant duties. This is a full-time, contract position funded through the Canada Summer Jobs program, running for the duration of the program (Summer 2026). This role is perfect for students who are eager to learn, grow their professional skills, and contribute meaningfully to the day-to-day operations of a compassionate, community-focused organization. You will help keep the office running smoothly, support staff and volunteers, assist with scheduling and correspondence, and gain insight into healthcare administration, HR processes, and volunteer management, all while making a real difference in the lives of the people our Hospice serves.
Clinical Administrative Support
• Assist the Manager of Hospice Care with organizing clinical documents, forms, and files
• Help schedule appointments and coordinate meetings
• Prepare materials for team meetings, including agendas and minutes
• Support the tracking of staff training and orientation
Human Resources Support
• Assist the Manager of People & Culture with onboarding and orientation of new staff and volunteers
• Help maintain personnel and training records
• Support recruitment logistics, including posting positions, scheduling interviews, and communicating with applicants
• Assist with internal HR communications and documentation
Volunteer Coordination
• Support volunteer scheduling and communications
• Help maintain volunteer files and training documentation
• Assist with volunteer onboarding and orientation activities
• Support volunteer appreciation initiatives and events
Executive Assistant Support
• Prepare basic correspondence, reports, and documents for both managers
• Help manage calendars and schedule meetings
• Assist with meeting logistics and general administrative tasks
• Support both managers with day-to-day office organization and ad hoc projects
• Other duties as assigned
Qualifications:
Applicants must meet Canada Summer Jobs eligibility requirements. (Be between 15-30 years old and be eligible to work in Canada)
• Currently enrolled in a program such as Office Administration, HR, Health Administration, Social Services, Communications, or a related field is preferred
• Strong organizational skills and attention to detail
• Good written and verbal communication skills
• Comfortable using Microsoft Office (Word, Excel, Outlook)
• Friendly, professional, and able to interact with staff, volunteers, residents and visitors
• Ability to handle confidential information appropriately
• Eagerness to learn and take direction
Compensation

+ Office Administrative Assistant
Title: Office Administrative Assistant
Reporting to: Manager of Fund Development and Finance Coordinator
Position type: Full-time (Temporary)
Position Summary
We are seeking a full-time Office Administrative Assistant through the Canada Summer Jobs program. This role will support fundraising activities, donor stewardship, communications, daily office operations, and general accounting office support.
As a key member of the administrative and fund development team, you will assist in tracking donations, preparing donor acknowledgments, supporting events, drafting content, and ensuring smooth office operations. You will also work closely with our accountant to provide administrative accounting support, such as filing, organizing documents, data entry, preparing spreadsheets, and assisting with invoice and receipt management.
This is an excellent opportunity for a student interested in fundraising, communications, accounting support, office administration, non-profit work, or community engagement.
Key accountabilities of this role include:
Fundraising, Donor Relations & Database Support
• Track, update, and maintain donor and prospect information
• Assist with processing incoming donations, preparing tax receipts, and generating donor acknowledgment letters
• Support monthly and annual pledge schedules and reminders
• Produce reports, mailing lists, invitations, and event registration support
• Assist with fundraising events, gift announcements, and cheque presentations
• Represent Barrie Hospice of Elgin professionally when engaging with donors, volunteers, and residents
Administrative & Accounting Support
• Assist with scheduling, meeting support, and taking meeting minutes
• Maintain filing systems, including reports, donor records, invoices, and administrative documents
• Provide general administrative accounting support, such as:
o Filing and organizing financial documents
o Sorting receipts and invoices
o Preparing spreadsheets or summaries
o Assisting with data entry into templates or tracking systems
o Scanning, printing, and preparing accounting packages
o Supporting month-end preparation tasks such as organizing paperwork
o Perform additional administrative duties as assigned
Qualifications
Applicants must meet Canada Summer Jobs eligibility requirements. (Be between 15-30 years old and be eligible to work in Canada)
• Enrolled in a post-secondary program such as Office Administration, Fund Development, Communications, Accounting/Finance (intro level), Business Administration, Marketing, or a related field
• Strong organizational and administrative skills
• Interest in gaining experience in office administration, fundraising, and accounting
• Strong written and verbal communication skills
• Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Comfort with social media platforms
• Ability to manage multiple tasks with attention to detail
• Ability to maintain confidentiality when handling sensitive information
• Professional, friendly, and comfortable engaging with donors, volunteers, staff and residents.
